When a small business needs new laptops or desktops, the default approach is to walk into a retail store, buy whatever is on promotion, and hope it works. It usually does, for a while. Then Teams calls start stuttering because the machine has 4GB of RAM. Or the laptop that seemed like a bargain turns out to run Windows 10, which Microsoft stopped supporting in October 2025. Or the "business laptop" from the electronics chain has a consumer-grade build quality that falls apart after 18 months of daily use.
The hardware itself is only part of the equation. A new laptop needs to be enrolled in your company's Microsoft 365 environment, configured with the right security policies, connected to your business email and files, and set up so your IT provider can support it remotely. Skip that step and you end up with a collection of personal devices that happen to be used for work, with no central management, no consistent security, and no way to recover company data if someone leaves or a device is lost.
TechCloud handles the full cycle: advising on the right specification for your workload, procuring new or refurbished devices at business pricing, setting them up with your Microsoft 365 environment, and supporting them after deployment. Not as a hardware retailer, but as your IT partner making sure every device your team uses is fit for purpose and properly managed.
Choosing the Right Device for Your Business
The most common mistake small businesses make with hardware is buying based on price alone. The second most common is buying more than they need. Both cost you money. The goal is to match the device specification to what your team actually does.
For most small business staff working in Microsoft 365 (email, Teams, Word, Excel, OneDrive), the requirements are straightforward:
- RAM: 8GB minimum, 16GB recommended. Microsoft 365 with Teams, a browser, and a couple of Office apps open simultaneously typically consumes 6-8GB of RAM. A machine with 4GB will struggle. 16GB gives comfortable headroom and extends the useful life of the device by two to three years.
- Storage: 256GB SSD minimum. An SSD (solid state drive) is non-negotiable. The speed difference between an SSD and a traditional hard drive is the single biggest factor in how fast a computer feels. Most business users who store files in OneDrive and SharePoint do not need more than 256GB locally.
- Processor: Intel Core i5 or AMD Ryzen 5 equivalent. Sufficient for all standard business applications. An i7 or Ryzen 7 is only worth the premium if the user runs heavy spreadsheets, design software, or video editing.
- Display: Full HD (1920x1080) minimum. Anything lower makes reading documents and working in spreadsheets unnecessarily difficult, especially on laptops where the screen is the only display.
- Build quality. Business-grade laptops from manufacturers like Lenovo (ThinkPad), Dell (Latitude), and HP (ProBook/EliteBook) are built for daily professional use. The keyboards, hinges, and chassis are designed to last three to five years. Consumer laptops in the same price range often use cheaper components that do not hold up to daily use.
TechCloud assesses what your team does and recommends a specification that matches. We do not upsell. If an i5 with 16GB of RAM covers your needs, that is what we recommend, even though an i7 with 32GB costs more and earns a higher margin. The right device is the one that does the job without wasting your budget.

New vs Refurbished: When Each Makes Sense
Refurbished business laptops are a legitimate option for small businesses on a budget, but only if you know what you are buying. A three-year-old Lenovo ThinkPad that was used in a corporate environment, professionally refurbished with a fresh Windows 11 installation and new battery, can deliver most of the performance of a new machine at a significantly lower price.
Refurbished makes sense when:
- The role requires standard business applications (email, documents, web, Teams) and nothing processor-intensive
- Budget is a genuine constraint and you need to equip multiple staff members
- The refurbished device is a business-grade model (ThinkPad, Latitude, EliteBook) that was built to last five years, not a two-year-old consumer laptop that was barely built to last two
- The supplier provides a warranty (typically 6-12 months on refurbished devices)
Refurbished does not make sense when:
- The device cannot run Windows 11 (older processors that do not meet Microsoft's hardware requirements)
- The user needs a high-performance machine for design, development, or data work
- The device has been refurbished with the original battery, which may only hold 30-60 minutes of charge
TechCloud sources both new and refurbished devices. We are transparent about the trade-offs. If a refurbished machine meets your requirements, we will recommend it. If it does not, we will tell you why. For more on making hardware budgets stretch, read our guide to upgrading computer equipment on a tight budget.
What Happens After You Buy a Device
Buying the hardware is step one. Making it part of your business environment is step two, and it is the step most businesses skip or get wrong.
When TechCloud sets up a new or refurbished device for your business, we handle:
- Windows 11 setup and updates. Clean installation if needed, all security patches applied, bloatware removed, performance optimised for business use.
- Microsoft 365 enrollment. The device is connected to your company's Microsoft 365 environment. Email, OneDrive, Teams, and the Office apps are installed and signed in. If your business uses Entra ID (formerly Azure AD), the device is joined to your directory so it inherits your company's security policies automatically.
- Security baseline. BitLocker drive encryption enabled, Windows Hello or PIN login configured, Microsoft Defender settings verified. For managed IT support clients, the device is enrolled in our remote management platform so we can provide support, push updates, and check device health without needing physical access.
- Data migration. Files, browser bookmarks, and application settings transferred from the old device. Email and OneDrive data syncs automatically through Microsoft 365, but local files, desktop shortcuts, and application-specific data need manual migration.
- Old device handling. Secure data wipe of the old machine. If the device still has useful life, we advise on repurposing (a spare for when someone's primary device is being repaired, or a dedicated meeting room terminal). If it is end-of-life, we advise on responsible disposal.
The entire process, from procurement to a fully configured device ready for a staff member, typically takes 3-5 business days. For urgent requirements, we can turn around same-day if stock is available.
Windows 11 and What It Means for Your Current Devices
Microsoft ended support for Windows 10 in October 2025. That means no more security patches, no more bug fixes, and no more protection against newly discovered vulnerabilities. If your business still has devices running Windows 10, they are a security risk that grows every month.
The complication is that Windows 11 has stricter hardware requirements than Windows 10 did. Many older laptops and desktops that run Windows 10 perfectly well cannot be upgraded to Windows 11 because their processors or security chips do not meet Microsoft's requirements. For these devices, the options are:
- Replace with a Windows 11 compatible device. The cleanest path. New or refurbished, as long as it meets Windows 11 requirements.
- Consider a Chromebook. For staff who work primarily in a web browser and do not need Windows-specific software, a business-class Chromebook is a cost-effective alternative with automatic security updates and no Windows licensing cost.
- Keep Windows 10 with full awareness of the risk. Some businesses choose to continue using unsupported devices for roles with limited internet exposure. This is a calculated risk, not a recommendation.
TechCloud audits your current devices and gives you a clear picture: which can upgrade to Windows 11, which cannot, and what the replacement plan looks like. For the full picture on the risks and options, read our Windows 10 end of support guide.
When to Replace vs When to Repair
Not every slow computer needs replacing, and not every old computer is worth repairing. The decision depends on a few practical factors:
Replace when:
- The device is more than five years old and showing physical wear (keyboard failing, hinges loose, battery life under an hour)
- It cannot run Windows 11 and there is no workaround for the user's role
- The cost of repair approaches half the price of a replacement device (a common industry guideline)
- The device has 4GB of RAM or a traditional hard drive, and upgrading both costs more than a refurbished replacement
Repair or upgrade when:
- A RAM upgrade (4GB to 8GB or 16GB) will solve the performance problem and the device is otherwise in good condition
- Replacing a hard drive with an SSD transforms performance at a fraction of replacement cost
- The device is under three years old and the issue is a failed component (screen, keyboard, charging port) covered by warranty
- The user's workload is light enough that the existing hardware, once upgraded, will serve for another two to three years
TechCloud evaluates your devices and gives you a straightforward recommendation. We have no incentive to push replacements when a repair or upgrade is the better option. For managed IT clients, we track device age and health so we can flag replacement needs before a failure disrupts your team's work.

Frequently Asked Questions
Does TechCloud sell laptops and desktops?
TechCloud procures hardware on your behalf, both new and refurbished. We are not a retail store with stock on shelves. We assess your requirements, recommend the right specification, source the device at business pricing, and deliver it fully configured for your environment. You get expert advice on what to buy, not a sales pitch to buy the most expensive option.
What specification laptop do I need for Microsoft 365?
For standard Microsoft 365 use (Outlook, Teams, Word, Excel, OneDrive), you need at minimum 8GB RAM, a 256GB SSD, and an Intel Core i5 or AMD Ryzen 5 processor. We recommend 16GB RAM if the budget allows, as it gives comfortable headroom for running Teams alongside multiple Office apps and browser tabs, and extends the useful life of the device. For more detail on how cloud services shape hardware needs, see our cloud solutions guide.
Is refurbished hardware reliable?
Business-grade refurbished hardware (ThinkPad, Latitude, EliteBook) is typically very reliable. These devices were built for corporate environments and designed to last five years. A professionally refurbished unit with a new battery, fresh Windows 11 installation, and 6-12 month warranty is a sensible choice for standard business use. Consumer-grade refurbished devices are less predictable. TechCloud only sources business-grade refurbished hardware and is transparent about the trade-offs. For more detail, read our guide to hardware on a budget.
Can I upgrade my current laptop instead of replacing it?
Often, yes. Adding RAM (from 4GB to 8GB or 16GB) or replacing a traditional hard drive with an SSD can transform a sluggish laptop at a fraction of the cost of a new one. However, if the device cannot run Windows 11 due to processor or TPM limitations, upgrading components will not solve that problem and replacement becomes necessary. TechCloud assesses each device and recommends the most cost-effective path.
What about Chromebooks for business?
Chromebooks are a strong option for staff whose work is primarily browser-based: email (via web), cloud applications, and document collaboration. They are lower cost, require minimal setup, receive automatic security updates, and are resilient during power disruptions when paired with mobile data. They are not suitable for staff who need Windows-specific software, desktop Office apps, or specialised business applications. TechCloud advises on which roles in your business suit a Chromebook and which need a Windows device. For a detailed comparison, read our business Chromebook guide.
Do you provide onsite hardware support?
TechCloud has supported businesses across South Africa and internationally through remote management since well before it became standard practice. Our remote support capability, refined through years of experience including the COVID period, allows us to diagnose hardware issues, push updates, configure devices, and resolve most problems without setting foot in your office. For businesses in Johannesburg and Gauteng, we also provide onsite support for hardware issues that genuinely require hands-on attention. Hardware procurement, setup, and configuration are handled remotely for any location, with devices shipped directly to your premises fully configured and ready to use.
How long does it take to get a new device set up?
From order to a fully configured device ready for your staff member, the typical turnaround is 3-5 business days. This includes procurement, Windows 11 setup, Microsoft 365 enrollment, security configuration, data migration from the old device, and testing. For urgent requirements where stock is available, same-day turnaround is possible. Managed IT clients receive priority handling for hardware requests.
