Transitioning to a remote workforce with Microsoft Teams

Microsoft 365 and Microsoft Teams lets you easily manage your business, your employees, and your customers. Microsoft Teams Meetings is a great alternative to Zoom or Google Meetup and with the paid version, you get similar features.  As a start, have everyone install Microsoft Teams on their devices. The Teams app can be downloaded on Apple and Windows, Android and Iphone.  Microsoft Teams download for PC and Apple MAC can be accessed here. A great feature of Microsoft Teams login is the ability to do so on most up to date browsers.  You can do so at this link https://teams.microsoft.com.

With Microsoft Teams,

  • you can see who’s free,
  • send instant messages,

  • hold meetings.

Teams Meetings

You can also make Teams calls between devices. When you’re ready, invite your customers to Teams so you can collaborate with them in real-time. Your customers can join the team from a browser without installing additional software. Microsoft Teams Meetings now has many features including:

  • Recording Meetings
  • Webinar type meetings
  • Using AI to automatically transcribe what is being said see here
  • Working on a live document together

Documents

We recommend that you store business documents in the cloud using Microsoft Teams. This makes sure everyone has access to important business files at all times and can find them easily. Since documents are stored in easily labelled containers, it’s easy for you to ensure correct and proper access.  Your documents will also be more secure in Microsoft Teams Cloud. You can retrieve them, even if something happens to your devices.

Other Features

It would help your business to use your website or social media to keep your customers updated and make sure they know how to reach you. For example, use Microsoft Forms to collect their questions and Microsoft Bookings to schedule appointments for consultations.

Security

The best way to protect your business and customers is to use a second form of authentication when signing in. This means that even if someone had to get ahold of your password, they still can’t login to your account.  Office 365 makes it easy for you to ensure that you have secure access to your information by using the same system the banks use – sending you a code when you are logging into a new device.  If someone guesses your password, they can’t login without the code that is sent to your phone.  Microsoft even has an App for your phone which prompts you to allow access instead of taking an extra step of reading out a code.

Also, make sure your devices are updated, password protected, and running security software like Windows Defender. Make sure home networks are password protected and use a virtual private network, or VPN, when using public WiFi.

Lastly, practice safe computer use by not clicking on links or opening files sent from unknown sources. And never share personal, financial, or sensitive business information.
